We’re excited to introduce a highly requested feature: the ability to print a Certificate of Conformity (COC) at the end of a production cycle during the shipping phase. This functionality is seamlessly integrated into the Invoicing Document Set module, which manages the COC layout for printing or PDF generation. If a valid layout is predefined, the system will generate the document accordingly. Otherwise, it will omit the COC, ensuring that only necessary and compliant documents are produced. For added convenience, when the Email Notification + PDF Generator module is enabled, a PDF version of the COC can be automatically generated and sent via email. This new feature simplifies compliance documentation, making it an effortless addition to your workflow.

The Role of the Certificate of Conformity

The Certificate of Conformity (COC) certifies that a product meets required standards, regulations, or customer specifications. By integrating COC issuance into FocalPoints, we streamline compliance without disrupting workflows. In fact, within an ISO 13485-compliant QMS, the COC documents that each batch of contact lenses meets all regulatory and quality requirements. This certification is essential for affixing the CE marking, which signifies that a product meets the stringent health, safety, and environmental standards required for distribution within the European Union.

Invoicing Document Set Module

The Certificate of Conformity feature leverages the Invoicing Document Set module, which automates invoice generation by pulling accurate details from the FocalPoints database. It ensures precise pricing, taxes, discounts, and customer-specific conditions, reducing manual data entry and minimizing errors while saving time for high-volume labs. Beyond invoicing, the module also generates essential shipping documents, including packing slips, shipping labels, and the Certificate of Conformity. Additionally, the Invoicing Document Set can manage multiple versions of documents based on client-specific requirements, providing extra flexibility for labs that serve diverse markets or need to comply with varying regulatory standards.

Invoice Notification by Email + PDF Generator

The Invoicing Document Set module not only streamlines invoicing but also manages essential shipping documents, including the Certificates of Conformity (COC). Now, when combined with Email Notification + PDF Generation, it goes a step further by automating the emailing of COCs alongside invoices. Users can configure customer profiles for automatic delivery while retaining full control to review and adjust recipient details before sending. This ensures a smooth, accurate, and professional compliance process.

How It Works

At the end of a cycle, during the shipping phase, FocalPoints automatically generates the Certificate of Conformity (COC) as a PDF based on the cycle’s data. If needed, users can print the COC immediately. Additionally, when the Email Notification module is enabled, the system will automatically attach the COC PDF and send it to the designated recipients via email. This process ensures that compliance documentation is handled seamlessly and efficiently, without requiring manual intervention.
